DH Runners Meeting Minutes
September 10th 2016

The minutes of the previous meeting held in April were accepted as a true & accurate record.
Bank balance as of Sept 9th is £7203.59 (£750 earmarked for coaching course)
Accounts to March 31st 2016 have been verified by Andy Baker.
The website is in need of updating (both content and platform). In order to do this to enable online payments there are 2 options:
A) £500 approx. – basic update which will mean 2 sets of fees per transaction
B) £1100 approx. – update which means 1 set of fees
The committee unanimously voted for Option B.

Date: 19 November (1030/11am). Venue TBC. Morton Manor if available (ACTION: SARAH HAMILTON) and DH con club if not.
All members of the committee are willing to continue in their roles, but it will be opened up to all members. Lindsay will compile ‘job descriptions’ to be sent out (ACTION: SARAH HAMILTON to send Lindsay a list of all roles)
From Oct 1st, 6monthly fees will be available at a cost of £10 (non-affiliated) and £23 (affiliated)
England Athletics have confirmed that for 2017/2018 the affiliation fee will rise to £14. This will be communicated to members and our fees for next year will be set at the AGM.
Mental Health Ambassador
Steve Claringbold is our England Athletics mental health ambassador. This is a new role created by EA and it’s not yet fully clear what this entails. Steve and Lindsay (welfare officer) will sit down and create a plan going forward.
As the track is now available to use, we plan to hold our only 2016 Magic Mile on either Oct 15th or 22nd.
ACTION: MICHELLE MACKAY to check at the Sands how we can book
Next available course in in Maryport on Sept 25th. Cost is £40 per person which will be met by the club. We will ask those runners that responded to our “expression of interest” email that went out earlier in the year and are still active members of the club. It will be made known that a certain level of commitment will be expected.

To celebrate the end of Ben Smith’s challenge, we will set up a group run on Oct 6th. Those who have entered the virtual run can use it to earn their medal, while others can come along and join in for fun (making a small donation to the 401 via our money tin)
Go Active Weekend
Oct 1st/2nd – the committee decided that the club will not actively take part in the weekend but will promote parkrun and encourage people to bring a friend along.
Any Other Business
What are we offering our members? Lots of suggestions have been put forward for giving our members more. These include approaching local businesses for discounts.
SOCIAL EVENTS - Bingo Run (ACTION: ANDREW GRAHAM), Team Relays.
LINDSAY GRAHAM to become ‘social secretary’ and put together a calendar of events.
Stu Windsor has previously offered a PT session to members. This will run monthly with the winner being drawn at random. ACTION: STEVE CLARINGBOLD to confirm details with Stu.
Cross Country League – SARAH HAMILTON to find details for this winter’s fixtures.
Easy Fundraising – We have the chance for a company to use EF for their online purchasing which will raise funds for us. Ideas for who to approach needed.
Race Sub Committee – If we are to host our own race, a subcommittee is needed. Members to be approached to see if there is interest.
Club Kit - Various members have commented on the fit of the ladies’ vest. The committee have decided to look at other options. There have also been requests for a hi-viz top for the winter months. Kev Mulvey expressed an interest in selling branded mugs. Andrew Graham proposed offering a running hat.
