DH RUNNERS AGM Minutes
16th NOVEMBER 2019 (10:32, Morton Manor)
Present: 69 members (29%)

2. Welcome from Vicechair and Report from Chair
7th year as a club and 5th full year as affiliated with EA
We currently have 237 members.
Recap on 2019:
- Club Championship winners for 2018 were Emma McKnespiey and Martin Grey.
- Club Captains 2019 - Helen Cupac & Brian Hazlewood.
- New Run Leaders this year -all paid for by the club as the funding from Active Cumbria is no longer available. This ties in nicely with the introduction of the official Monday group.
- You Can Run saw 84 people take part his year over 3 different courses, many thanks as ever to our run leaders for helping to facilitate this.
- You can Run + had 28 people bridge the gap from 5k to 10k.
- Club Charity for 2019 was EVH with £900 raised on our official JustGiving page,
- 24 Hour Relay took place 20th & 21st July, 5k laps of the Cummersdale Loop from 12-12, over 100 people took part. 1st/last lap as group run. £1250 raised from this event alone… We will be looking to stage it again with the dates to be announced early in the new year. Thank you to this year’s event committee consisting of Kathryn & Matthew Holliday, Bev Armstrong, Brian Kerr, Christine Southam, Emma Taylor, Jo Billett, Lindsay Graham, Lucy Jackson, Natalie Bingham, Patricia Gallagher, Rachel Archbold, Sarah Hamilton, Suzanne Burgess and Suzanne Forster.
- DH River Run 10k - 217 finishers on the day, 250 limit Congratulations to Mark Emmerson on a new course record! 34.45
- Lakesman - Once again the feed station was a huge success thanks to Simon Dolman for coordinating this… We will be having the feed station again next year with loads of DH flying the flag in the full and half distance again.
- Notable results Stephen Weston representing England Masters at the Yorkshire Marathon. Caroline Charlton 2nd female in the Lakesman. Michael Holliday won Cumbria Way half whilst breaking the course record.
- Other events include the Christmas 10k Handicap, our championship runs, Cross Country taster session, Visually Impaired runner support training, Watchtree 100 mph challenge and of course the bank holiday night outs and many other social get togethers.

Santa Dash 2018 raised £9000 for Jigsaw,
Club Charity for 2020 will be announced later.

The committee and especially those on the committee who are stepping down this year, Club Secretary Anni Stumpf, Membership Secretary Michelle Mackay and Coaching/Volunteer Coordinator Steve Claringbold,
Thank you to our members who continually support Carlisle parkrun,
To those who organised bus travel for races,
Those who offer volunteer support at all of ours and other club’s running events,
Lastly a big thank you to the members who help to make the club the success it is.
3. New Constitution
- An email was sent out prior to the AGM to all members including links to the old and the proposed new constitution, which are available to everyone to read on our webside.
- Present members agreed on the new constituion with no dissentient, which makes the new version official.
4. Report from the Finance officer
Income generated for the year was:
- £4,840 from membership fees with 227 full and 30 half year members;
- £1,663 from group run subscriptions and you can run courses.
Expenditure for the year was:
- £3,789 on courses and training with run leader and guided running courses being provided
- £160 for social events (Christmas party)
- £467 for club affiliations (England Athletics, Northern Athletics & Mid Lancs XC League)
- £216 to host the club 10k
- £257 for signage, to be used at club events
Administration expenses were:
- £108 for web-site hosting
- £231 for office / administration expenses
- £480 for selling costs (Snipcart fees for online payments)
This left a surplus for the year of £539 and a cash balance at the year-end of £15,145.
Spending for the year has increased significantly on the previous year in line with feedback received from last year’s AGM.Subsidised renewal membership was in place for 19/20 renewals and future plans include further subsidised travel, a family fun day, training and considering membership fees for 20/21.

Lindsay gave a short report on all the groups.
7. Announcement of Club Charity 2019/20
Nominations and received votes:

- Hospice at Home 28
Our charity for 2019/20 will be Hospice at Home
Thank you for all the nominations and votes!
Hopefully we will have another successful year of fundraising to support this great charity.
8. London Marathon Club Place ballot
- The number of entries given to each club is based on the number of first claim-registered members over the age of 18 who are registered with British Athletics.
- This year that we got one entry for the London marathon.
- To take part in our draw, members had to provide their rejection email from the official Virgin Money London Marathon ballot and had to be present at the AGM. This year we have 12 people in the draw.
- The draw was done using a random name picker app. Assisted by an impartial member, the member picked was Gary Chandler.
9. AOB
- Robert Ainsworth enquired about a 10k to half marathon course,
Action: Cheryl Bryson to write a piece for the newsletter.
- Kit: Kathryn Holliday announced that beanie hats are now included in our club kit and will be available to order on our website.
- Andy Baker and Cheryl Bryson noted that the expenditure on run leaders was very high this year (2019) and suggested that the committee could write an agreement which would be signed by run leaders and those who want to take part in a run leader course. The agreement would include criteria and guidance on the role as a club run leader.
- Robert Ainsworth proposed that the club could send a small donation to the nominated charities that lost the vote,
- Nicola Jackson suggested that there could be more online voting in general on various topics throughout the year.
- Toby Harling and Emma Richardson enquired about the next ‘Magic Mile’ and ‘Night of the 5k PBs
- Emma Richardson brought up the idea of social club meetings every other Saturday after parkrun or before every committee meeting. This would give members an opportunity to get to know each other and discuss suggestions that could be brought to the committee.
- Ashley Thomson: Thank you to the committee for their work in 2018/19!
A number of members requested if long sleeve high viz tops and event clips could be added to the kit,
Action: Kathryn Holliday to look into this.
Emma Richardson suggested that a high viz top could be given to every sign-up, that way we could make it mandatory for club runs,

Beverley Armstrong is already in the process of organising regular Club Coffee Mornings, which will be announced in the next newsletter. These social get-together will also give injured members the chance to keep in touch with fellow club members.
